Uploading GTINs using Excel in GS1Trade Activate

Instead of creating GTINs individually, you have the option to create multiple GTINs simultaneously using Excel import. In this guide, we'll show you how.

If you have previously formed your barcodes using our now discontinued system, GS1Trades Barcode, and thereby only keeping track of your used GTINs internally, we recommend following this guide so that in the future you can quickly create new, correct GTINs using the system.

 

1. Log in to GS1Trade Activate

Start by logging into the system: Log in to GS1Trades Activated.

When logged in, you first see 'Overview'side. Here you can see all the prefixes that your company has from your GS1LEGITIMATION subscriptions, and GTINs can be formed from.

Before you start uploading your GTINs, we recommend that you create a GTIN on a consumer device and a GTIN on a colliery device using manual input. Then these units can be exported to Excel.

This makes the process easier when you need to enter the new product information into the Excel sheet, which will be shown later in this guide.

 

2. Manual creation before Excel import: The base unit

Go to the tab 'GTIN Part Number' and press the button <Opret GTIN>.

Select 'Manual Entry'and enter the GTIN (barcode number) with 14 digits. Note if you have a 13-digit GTIN, then a leading zero must be entered. Press the button <Calculate check digit>.

Now press the button <Create>.

Then press the button <Court>.

The fields marked in red in the system must now be filled in.

Press the button <Gem>.

3. Manual creation before Excel import: The packaging unit (collet unit)

Now press the button again <Opret GTIN>. Then follow points 4, 5 and 6 above.

Filling in the fields for the packaging unit is described below:

Pressure <Gem>.

 

4. Export the created GTins to Excel

Now you should have exported the two units out in Excel. This is done from the screenshot <Overblik>.

Find the appropriate prefix on which you need to make extractions. If you have many to choose from, you can search the prefix so that only this appears on the view.

Go down the line with the prefix and press the button <Eksportér> and <GTIN-varenummer> to the right under 'Actions'.

Fill in the fields as shown in the image below and press <Eksportér>.

Press <Se opgave>.

Now you are in the 'Tasks' view. Pressure <Download> under 'Actions' and open the Excel file.

5. Entering GTIN and information in the Excel sheet

The Excel file now contains everything that has been filled in about the created GTins and in the correct format. The Excel file can therefore now be used as a template for entering all your other GTins.

Start by stating the GTIN in column A (note GTIN must be entered with 14 digits) as well as the item name in column E. Then many of the columns will be the same/identical to the base and collet units, respectively.

If some blank columns appear in the Excel sheet these should NOT be deleted.

At the bottom of the Excel sheet there is a tab called “Lookups”. It contains code lists. Some fields in the Excel upload file may only be filled with codes from this list.

6. Import the Excel file

When all the information is entered correctly in the Excel file, it must be imported. Enter the page 'GTIN Part Numbers' and press the button <Importér GTINs>.

Press the button <Træk fil hertil, eller søg>.

Pressure <Importér>.

The Excel file is imported and the development can be followed in the 'screenshot' Assignments'. If there are errors in the Excel file, one can under the heading 'Actions' download a file containing the errors. Then you fix the errors and upload the file again.

Once the Excel file is imported correctly, the new GTINs will appear in the overview of your 'GTIN Part Numbers''.

Once all your GTINs have been created in the system, you will be able to quickly create new GTINs for your new products, as the system can automatically assign the next available number. Barcodes and pallet labels will also always be available to you by clicking <Dan stregkode> to the right of each created GTIN in the overview.

Note: The import function can also be used to add/correct data in already created GTins. When importing already created GTins, the existing information will be overwritten with the information in the imported Excel sheet.
