Data quality rules for GS1Trade Exact

1. Intro

This guide describes the quality checks and validation rules included in GS1Trade Exact, as well as the data fields they affect.

Where possible, each validation rule is accompanied by a description of the assessment criteria and the status that may be assigned.

The quality assurance rules and evaluation criteria have been developed in close collaboration between GS1Trade Exact and our GS1 standards experts. All rules are based on GS1 Global Standards.

1.1 Consumer unit or non-consumer unit

When creating a trade item in GS1Trade Sync, you must specify whether it is a consumer unit.

A consumer unit is the item intended for purchase or use by the end user. The end user may be a consumer purchasing the product in a retail store, but this is not limited to retail scenarios.

Example of a consumer unit:

  • A 1-litre carton of milk
  • A 6-pack of beer identified with a GTIN

Example of a unit that is not a consumer unit:

  • A GTIN-labelled case containing 12 bake-off loaves, where the individual loaves are not identified with a GTIN. The case is not intended to be sold directly to the end consumer.

The selection you make also determines which fields are mandatory in GS1Trade Sync. These fields will subsequently be validated as part of the GS1Trade Exact quality check, so it is important to choose the correct option when creating your trade items.

2. Packaging Information

2.1 Net content (3510)

Net content rule (3510): Net content (3510) in GS1Trade Sync must correspond to the net content indicated on the product and be specified in the same unit of measurement.

For fixed-weight products, enter the net content exactly as stated on the product label. For variable-weight or variable-quantity products, where the actual weight or quantity may vary from batch to batch, enter the average value in the 'Net Content' field.

How is this checked?

  1. Visual control of what is printed on the product.
  2. The value entered in GS1Trade Sync is compared with the value printed on the product. If this is the case, the status “VALID” is given. If it does not match, the status is given “INVALID”.
  3. VALID EXAMPLE: Canned chopped tomatoes (solid weight product).
    • Product: A can of chopped tomatoes.
    • Net content indicated on the product: 400 g.
    • Value entered by the member: 400 g.
    • Visual check: The specified value in GS1Trade Sync matches what is printed on the product.
    • Result: VALID - the value entered by the memberer is correct.
  4. INVALID example: Bag of frozen vegetables (solid weight product)
    • Product: A bag of frozen peas.
    • Net content indicated on the product: 500 g.
    • Value entered by the member: 450 g.
    • Visual check: The indicated value does not match what is printed on the product.
    • Result: INVALID - The member must correct the value to 500 g.

2.2 Drained weight (3553)

Drained Weight Rule (3553): The drained weight (3553) specified in GS1Trade Sync must correspond to the drained weight indicated on the product and must be specified in the same measurement ratio. Applies to specially defined GPC codes - mainly food products.

How is this checked?

  1. Visual check of whether it is indicated on the product.
  2. If it is indicated on the product, it will be inspected with the printed value and will it match the value indicated by our member in GS1Trade Sync, gives status “VALID”
  3. Does not match the value that we have inspected and the value our member has specified in GS1Trade Sync, is given the status “INVALID” until it is corrected to the inspected in GS1Trade Sync.
  4. If nothing is printed on the product, do not fill in this field.
  5. VALID EXAMPLE: Jar of olives.
    • Product: A jar of olives in brine.
    • Drained weight indicated on the product: 300 g.
    • Value entered by the member: 300 g.
    • Visual check: The specified value matches the printed value of the product.
    • Result: VALID - The value entered by the member is correct.
  6. INVALID example: Canned beans in pickle.
    • Product: A can of beans in a pickle.
    • Drained weight indicated on the product: 250 g.
    • Value entered by the member: 260 g.
    • Visual check: The specified value does not match the printed value on the product.
    • Result: INVALID - The member must correct the value to 250 g.

2.3 Ingredient List: Declaration of Ingredients (816)

Ingredient List Rule: The Ingredients (816) field in GS1Trade Sync must correspond exactly to the ingredient declaration on the product label, including the heading "Ingredients:" where present. Text in languages other than Danish may be excluded.

All allergens must be entered in CAPITAL letters.

“May contain”, “May contain traces of” and “For 100 g of finished product is used xxx g pig/beef” must also be indicated in this field if it appears on the product.

If there are products marked with, for example, * the explanation must be given at the end of the list of ingredients.

With the Danish/Swedish/Norwegian ingredients list, everything can be approved.

How is this checked?

  1. Visually check that the ingredients list is exactly as on the product.
  2. Is the ingredient list not listed 1 to 1 in GS1Trade Sync with what is printed on the physical product, the status “INVALID” is given.
  3. Is the list of ingredients listed 1 to 1 in GS1Trade Sync with what is printed on the physical product is given the status “VALID”.
  4. VALID EXAMPLE: Correct list of ingredients.
    • Product: A bag of biscuits with the following list of ingredients printed on the packaging: Ingredients: WHEAT FLOUR, sugar, vegetable oil (palm oil, sunflower oil), salt, raising agent (E500).
    • Value entered by the member in field 816: Ingredients: wheat flour, sugar, vegetable oil (palm oil, sunflower oil), salt, raising agent (E500).
    • Visual check: The ingredient list in GS1Trade Sync exactly matches the printed ingredient list on the product, including capital letters for allergens.
    • Result: VALID - The value entered by the member is correct.
  5. INVALID example: Lack of allergens in capital letters.
    • Product: A box of chocolates with the following list of ingredients printed on the packaging: Ingredients: Sugar, cocoa butter, SKIMMED MILK POWDER, emulsifier (SOY LECITHIN).
    • Value entered by the member in field 816: Ingredients: Sugar, cocoa butter, skimmed milk powder, emulsifier (soya lecithin).
    • Visual check: The allergens SKIMMED MILK POWDER and SOY LECITHIN are not written in capital letters in GS1Trade Sync.
    • Result: INVALID - The member must correct the allergens to capital letters.

2.4 Information on additives/E-numbers (822, 821)

Rule for Additive Name/E-number (821) and Additive: Level of Presence (822):
All additives listed in the ingredient declaration must be entered in the Additive Name/E-number (821) field in GS1Trade Sync. Each additive must have "Contains" selected in the Additive: Level of Presence (822) field.

If E-numbers are included in the ingredient declaration, they may also be entered in GS1Trade Sync, but this is optional. However, if you choose to enter an E-number for one additive, E-numbers must be entered for all additives listed.

How is this checked?

  1. Visually check whether the list of ingredients contains one or more of the following additives and whether it is indicated in boxes 821 and 822.
    • Licorice (all licorice)
    • Sweeteners
    • Aroma
    • Natural aroma
    • Colouring
  2. We check whether the following is on the product and whether it is indicated in boxes 821 and 822.
    • Packed in protective atmosphere.
    • Licorice - people suffering from high blood pressure should avoid excessive intake.
  3. We approve all the E-numbers listed here, even if we do not see that they appear in the ingredients list. However, all visible E-numbers must be indicated if one E-number is specified.
  4. VALID EXAMPLE: Chewing gum with sweeteners.
    • Product: A pack of chewing gum with the following in the list of ingredients: Sweeteners (xylitol, sorbitol).
    • Member's entry in field 821: Sweeteners.
    • Member's entry in field 822: Contains.
    • Visual check: Sweeteners appear in the list of ingredients and are correctly indicated in both fields 821 and 822.
    • Result: VALID - The value entered by the member is correct.
  5. INVALID example: Lack of additives.
    • Product: A soda with the following in the list of ingredients: Sweeteners (aspartame), Colouring (E102, E124).
    • Member's entry in field 821: Sweeteners.
    • Member's entry in field 822: Contains.
    • Visual check: Colourings are a mandatory information and are omitted from fields 821 and 822.
    • Result: INVALID - The member must add Colourings to field 821 and Contains to field 822.

2.5 Allergy (20, 21)

Rule for allergies (20, 21): For food products, you must specify the statusof all 14 regulated allergens. All allergens (20) that appear in the list of ingredients must be entered in GS1Trade Sync and be indicated by “contains” (21).

All allergens that appear in the list of ingredients stating “May contain”, “May contain traces of” must be entered in GS1Trade Sync with “May contain” (21).

All remaining allergens must be indicated with “Not added” (21) or “Free of” (21).

Please note that when specifying a specific allergen in the list of ingredients, both this and the parent allergen must be added. Example: Wheat flour - here both wheat and gluten must be indicated - ALMONDS here both almonds and nuts must be indicated.

How is this checked?

  1. Verification of the following 14 allergens:
    • Gluten
    • Eggs
    • Peanuts
    • Milk
    • Celery
    • Sesame seeds
    • Lupine
    • Crustaceans
    • Fish
    • Soy
    • Nuts
    • Mustard
    • Sulphur dioxide and sulfites
    • Molluscs
  2. Visual check of the list of ingredients and that all allergens highlighted in the ingredients list are indicated by “Contains” and that those that may be contained are indicated by “May contain” in GS1Trade Sync.
  3. Check that the remaining allergens are indicated by either “Not added” or “Free of”.
  4. If everything is specified correctly, the status is given “VALID”.
  5. If allergens are indicated incorrectly or no position is taken, the status “INVALID” is given.
  6. VALID EXAMPLE: Bread with wheat flour and milk.
    • List of ingredients: WHEAT FLOUR, water, sugar, skimmedMilk, salt, yeast.
    • Value entered by the member: Contains: Wheat, Gluten, Milk. “Not added”/“Free of”: Eggs, Peanuts, Celery, Sesame seeds, Lupine, Crustaceans, Fish, Soy, Nuts, Mustard, Sulphur dioxide and sulphites, Molluscs.
    • Visual check: WHEAT FLOUR: Correctly indicated with both Wheat and Gluten under “Contains”. SkimmedMilk: Correctly indicated with Milk under “Contains”. All other allergens are correctly indicated by “Not added”/“Free of”.
    • Result: VALID - The value entered by the member is correct.
  7. INVALID example: Lack of additives.
    • Product: A soda with the following in the list of ingredients: Sweeteners (aspartame), Colouring (E102, E124).
    • Member's entry in field field821: Sweeteners.
    • Member's entry in field 822: Contains.
    • Visual check: Colourings are a mandatory information and are omitted from fields 821 and 822.
    • Result: INVALID - The member must add colourings to field 821 and Contains to field 822.

2.6 Trademark (3336)

Trademark Rule (3336): The recognizable name used to identify a series of goods. Must be stated on the product. Do not include the name or net content of the item. In the case of private label products where no trade mark appears, e.g. “UNBRANDED” is approved.

What is entered in GS1Trade Sync field 3336 must match the trademark on the submitted product.

How is this checked?

  1. If one or more marks are found on the product, it must be checked which is the primary trademark and which is the secondary trademark.
  2. After this, the primary trademark is held up against that indicated in field 3336.
  3. If this is the case, the status is “VALID”.
  4. If this does not match, the status will be “INVALID”.
  5. VALID EXAMPLE: Multiple trademarks on the product.
    • Product: A chocolate bar with logo from both Nestlé (primary brand) and KitKat (sub-brand).
    • Value entered by member: Nestlé.
    • Visual inspection: Nestlé is correctly indicated as the primary trademark.
    • Result: VALID - The value entered by the member is correct.
  6. INVALID example: Trademark includes product name.
    • Product: A bottle of spring water with the branding Aqua Fresh Water.
    • Value entered by member: Aqua Fresh Water.
    • Visual control: Aqua Fresh is the primary trademark and stands for itself, while Water describes the product.
    • Result: INVALID - The member must correct the field to Aqua Fresh.

2.7 Trade item name (3297)

Rule for Trade item name (3297): The recognizable name of the individual item. Identifies the individual item and not a series. Cannot contain trademark, secondary trademark or net content. The field must be filled in with what is indicated on the packaging. It does not have to appear in the same order as it does on the product, as long as the words appear on the front. The name of the package and the base unit do not have to be the same. Packages can be approved on the basis of both what is written on the case unit or what is written on the base unit. The type of packaging can be approved in cases where it is used to separate one's products. Example: Orange water ds./ Orange water fl.

How is this checked?

  1. Visual inspection of what is written on the product.
  2. Checking what our member has indicated.
  3. Stating on the front of the base unit what our member has indicated is given the status “VALID”, unless they have indicated trademark or net content also, as these may not be included in the field”3297“.
  4. If our member has indicated trademark or net content, or what they have indicated does not appear on the front of the product, what is on the front is inspected without net content and without trademark and given the status “INVALID” until corrected in GS1Trade Sync.
  5. VALID EXAMPLE: Frozen pizza.
    • Product: A frozen pizza that says on the front: Pepperoni pizza with cheese.
    • Value entered by member: Pepperoni pizza.
    • Visual check: The value entered by the member contains words from the front of the product, although not everything is included, but it is still recognizable.
    • Result: VALID - The value entered by the member is correct.
  6. INVALID example: Net content included in the name of the item.
    • Product: A bag of rice, on the front side of which it says: Basmati rice 1 kg.
    • Value entered by the member: Basmati rice 1kg.
    • Visual check: The member has included the net content (1 kg), which is not allowed.
    • Result: INVALID - Member must correct Basmati rice.

2.8 Product Information Details/Claim Details (5317, 5318, 5315)

Here it must be stated what claims exist on the product, if any. Claims are statements highlighted on the productabout its content, characteristics or benefits. It is only relevant on basic/consumer products.

2.9 Claim code (5317)

Claim Code Rule (5317): The correct parent code for the type of claim must be provided. For example, “free of”, “Made with”, etc.

How is this checked?

  1. Visual inspection of the product and we check if there is a claim on the product.
  2. After that, we check if something is indicated by the member.
  3. If what we have found is consistent with what the member has indicated, the status is “VALID”.
  4. If it does not match what we have found, the status is given “INVALID,” and the correct code is inspected.
  5. VALID EXAMPLE: Gluten-free bread.
    • Product: A packet of bread with the claim: Gluten-free.
    • Value entered by the member: Free of.
    • Visual check: The claim Gluten Free is found on the product, and the code Free from is correctly selected as the parent type.
    • Result: VALID - The value entered by the member is correct.
  6. INVALID example: Lactose-free milk.
    • Product: A carton of milk with the claim: Lactose free.
    • Value entered by the member: Made with.
    • Visual check: The claim Lactose-free is found on the product, but the code Made with is incorrectly selected.
    • The correct code is Free of.
    • Result: INVALID - The member must correct the code to Free of.

2.10 Value of claim (5318)

Claim value rule (5318): Enter the correct value that corresponds to that specified in field 5317, e.g. 'Gluten' if 'Free' is selected in (5317) and the product is 'Gluten Free'.

How is this checked?

  1. Visual inspection of the product and we check if there is a claim on the product.
  2. After that, we check if something is indicated by the member.
  3. If what we have found is consistent with what the member has indicated, the status is “VALID”.
  4. If it does not match what we have found, the status is given “INVALID,” and the correct value is inspected.
  5. VALID EXAMPLE: Gluten-free bread.
    • Product: A packet of bread with the claim: Gluten-free.
    • Value entered by the member: Gluten.
    • Visual check: The claim Gluten Free is found on the product and the code Gluten is correctly selected as the value.
    • Result: VALID - The value entered by the member is correct.
  6. INVALID example: Lactose-free milk.
    • Product: A carton of milk with the claim: Lactose free.
    • Value entered by the member: Caffeine.
    • Visual check: The claim Lactose-free is found on the product, but the value caffeine is incorrectly selected.
    • Result: INVALID - The member must correct the value to Lactose.

2.11 Is the claim printed on the packaging? (5315)

Claim value rule (5315): A decision is made on whether a claim is printed on the packaging of the product.

How is this checked?

  1. Visual inspection of the product and we check if there is a claim printed on the product.
  2. After that, we check what is indicated by the member.
  3. If what we have found matches what the member has indicated, the status “VALID” is given.
  4. If it does not match what we have found, the status is given “INVALID,” and the correct value is identified.

2.12 Packaging Label: Environmental and Packaging Labelling (1837)

Packaging Label Rule: Environment and Packaging Labelling (1837): If a brand/logo is indicated on the product, it must be indicated in field 1837 if the tag is in the code list.

How is this checked?

  1. Visual control of which brands/logos are present on the product.
  2. The labels identified during the inspection are compared with the values entered in field 1837. If they match, the status "VALID" is assigned. If one or more labels are missing or do not match, the relevant labels are identified, and the status "INVALID" is assigned.
  3. VALID EXAMPLE: Multiple marks indicated correctly.
    • Product: A plastic container with both recycling symbol (Mobius Loop) and (Grüne Punkt/Green Dot) printed on the packaging.
    • Value entered by the member: Recycling symbol (Mobius loop), Green Dot.
    • Visual check: Both marks are found on the product and are correctly indicated in the field.
    • Result: VALID - The value entered by the member is correct.
  4. INVALID example: One or more marks are missing.
    • Product: A cardboard box with both FSC certification mark and recycling symbol (Mobius loop) printed on the packaging.
    • Value entered by the member: FSC certification.
    • Visual check: The recycling symbol is not indicated in the box, although it is present on the product.
    • Result: INVALID - The member must add Recycle symbol (Mobius loop) in the field.

2.13 Nutritional Details (1241, 1244, 1243)

Nutrition Details Rule (1257).

Nutritional content: Component 1241: Enter a code describing the component/nutritional value contained in the product as indicated on the label of the product. E.g. Energy, Fat, Salt, etc.

Nutritional content: Value 1244: Value indicating the amount of the nutritional component contained in the product. This shall be indicated in relation to the nutritional reference value.

Measurement accuracy 1243: Code to indicate whether the specified nutritional content is an exact indication, an approximate or a less than indication.

How is this checked?

  1. Visual verification that all nutritional values shown in the product are also shown in GS1Trade Sync.
  2. Visually check that all fields are correctly filled and that it matches the product.
  3. Visual verification that the value of the nutritional content is exactly as on the product. For example, if “,0" is stated on the product, it must also be entered in GS1Trade Sync.
  4. For example, if “2.0 g fat” is indicated on the product packaging and only “2" is entered in GS1Trade Sync, gives it “INVALID” status on GS1Trade Sync.
  5. Example: Sugar.
    • Component 2141: Sugar.
    • Value 1244:0.1.
    • Measurement accuracy 1243: Less than.
      • Visual inspection: On the packaging it says: Sugar: <0.1g.
      • IN GS1Trade Sync should be indicated: less than 0.1 grams.
      • If “less than” is not chosen, it is a mistake, since it changes the nutritional meaning.

2.14 Cooking type (1225)

Cooking type rule (1225): Here, indicate “Product as sold” if the nutrition declaration of the product is for the product as it is in the package. If the nutrition declaration applies to the drained weight of the product, prepared or otherwise, this shall be indicated. This must be stated on the label/declaration of the product.

How is this checked?

  1. Visual verification that it appears in GS1Trade Sync, as it says on the product.
  2. If what is specified in GS1Trade Sync, consistent with what appears on the product is given the status “VALID”.
  3. If what is specified in GS1Trade Sync, not matching what appears on the product, is given the status “INVALID”.
  4. If there is no specific type of preparation, select “Product as sold”.
  5. Example: Drained weight.
    • Scenario: The label of the product reads: Nutrient content per 100 g drained weight.
    • Cooking type (1225): Drained weight.
    • Quality check.
    • Visual check: The label says drained weight and this is stated correctly in GS1Trade Sync as Drained Weight.
    • Status: “VALID”.
    • If the field in GS1Trade Sync indicates something else, e.g. The product as sold is given the status “INVALID”.

2.15 Nutritional Reference Value (1234)

Nutritional Reference Value Rule (1234): Indication of the reference value against which the nutritional information is given. E.g. per 100 grams/ml.

How is this checked?

  1. Visual control of what is entered in GS1Trade Sync, is indicated by the mandatory value for the type of product, typically it will be 100 g/ml on most products, but some products have special requirements from the Danish Veterinary and Food Administration.
  2. Products with special requirements for the nutrition declaration, such as food supplements and food substitutes, do not necessarily have to be indicated in 100 g/ml but in the defined mandatory reference quantities as required by the Food Administration.
  3. If you want to specify nutritional details for more values in addition to the mandatory ones imposed by the Danish Food Authority, we approve it if it is written on the product.

2.16 Alcohol percentage (3)

Alcohol Percentage Rule: The content of alcohol in the product indicated as a percentage.

How is this checked?

  1. Visual verification that what is indicated on the product is also entered in GS1Trade Sync.
  2. If alcohol is present in, for example, cleaning products, this must also be indicated here.
  3. Example: Discrepancy between GS1Trade Sync and product (not approved)
    • Product: A bottle of beer with 4.8% vol.
    • Value entered by the member in field (3): 5%.
    • Control: Alcohol percentage in GS1Trade Sync differs from the one indicated on the product.
    • Result: INVALID - The member's entry is not correct.

2.17 Cooking instructions (940)

Rule 940: Cooking Instructions: Used for culinary guidance or suggested preparation. Do not use for instructions required for hygienic/safety reasons or custom, as omission may lead to misuse.

How is this checked?

  1. Visual verification of the presence of cooking instructions, which appear on the product.
  2. If cooking instructions are printed on the product, they must also be entered in GS1Trade Sync.
  3. If there are instructions for both oven cooking and pan frying, the field can be added several times.
  4. To be specified in GS1Trade Sync exactly as shown in the product.
  5. Example:
    • Visual control of cooking instructions on the item.
    • Product: Frozen chicken breast fillets.
    • Cooking instructions on the product:
      • Oven cooking: Preheat the oven to 200°C. Place the chicken breast on a baking sheet and fry for 25-30 minutes.
      • Pan frying: Heat a pan with a little oil and fry the chicken breast for 6-8 minutes on each side until cooked through.

2.18 Cooking type (944)

Rule for 944 Cooking type: Code specifying the cooking method that the product must undergo, such as boiling, frying or baking.

How is this checked?

  1. Visual inspection of the cooking instructions and whether there is a specific cooking type.
  2. Checking that it is listed in GS1Trade Sync, as evidenced by the product.
  3. Approves both blank and unspecified if there is no specific cooking type.
  4. Status “VALID” is given if entered correctly and status “INVALID” is given if data entered incorrectly.
  5. Example:
    • Visual control of the cooking instruction.
    • Product: Frozen vegetables.
    • Cooking instructions on the product: Cooking: Boil the vegetables for 5-7 minutes in boiling water.
    • Control: Visual inspection of the packaging shows that the type of preparation is boiling.
    • Member has indicated: Boiling.
    • Result: VALID.

2.19 Shelf life after opening (days) (3481)

Shelf Life After Opening Rule (days) 3481: Indication of the number of days of shelf life that the product remains suitable for use after opening before it must be discarded.

OBS. For beauty products where shelf life is indicated only by an open-jar symbol, use field (4314) “Time period after opening for which the product can be safely used”.

How is this checked?

  1. Shelf life after opening is related to shelf life and/or storage instructions.
  2. To be specified only in GS1Trade Sync if it appears on the product with text.
  3. They always have the maximum number of days to be specified. For example, it says “3-5 days” must be indicated “5".
  4. VALID EXAMPLE: A ready-made dish that must be refrigerated.
    • Value entered by the member: '5'
    • Visual inspection: The product is a ready-made dish, which has shelf life instructions that state: “After opening, the product can keep refrigerated for up to 5 days”.
    • Comparison: The selected number of days is consistent with the instruction.
    • Result: VALID - The member's choice is consistent with the instruction.
  5. INVALID example: A ready-made dish that must be frozen.
    • Value entered by the member: '30'.
    • Visual inspection: The product is a ready-made dish, which has storage instructions that state: “After thawing, the product can keep up to 30 days in the refrigerator, shelf life after opening: 2 days in the refrigerator”.
    • Comparison: The selected number of days does not match the “Shelf life after opening” instruction.
    • Result: INVALID — The member's choice does not match the instruction.

2.20 Storage instructions for the consumer (352)

Rule of storage instructions for the consumer 352: Instructions for storing the product for the consumer. This description is usually printed on the label of the product. Instructions may include information on recommended storage temperatures and/or special storage requirements.

How is this checked?

  1. Visual check of whether there are instructions printed on the product specifying how it should be stored.
  2. Checks what the member has entered in field 352.
  3. Keep in mind that the safety phrase “Keep out of the reach of children” must also be indicated in addition to safety phrases
  4. If what the member has indicated matches what is printed on the product, the status “VALID” is given.
  5. If what the member has indicated does not match what is printed on the product, the status “INVALID” is given.
  6. Example: Proper storage for a specific product.
    • Product: Baby porridge. Storage instructions on the product: Store dry and closed. Use within 3 days after opening. Keep out of reach of children.
    • Control: The storage instructions and safety instruction are clearly printed on the packaging.
    • Requirements: In GS1Trade Sync should be entered “Store dry and closed. Keep out of reach of children.”
    • If the value entered by the member matches, the status “VALID” is given. If the instruction fields are defective or incorrectly entered, the status “INVALID” is given.

2.21 Instructions for use to the consumer (356)

Rule of application instructions for the consumer 356: mandatory instructions for use, which are required for hygienic/safety reasons or custom, because omission may lead to improper use. The field may not be used for culinary guidance or suggested preparation.

How is this checked?

  1. If there are mandatory instructions for use on the product, this must also be entered in GS1Trade Sync.
  2. It is based on phrases that warn the consumer about danger or misuse.
  3. Examples of statements on food products include: "Do not refreeze after thawing," "Warning: Excessive consumption may have a laxative effect," and "Be aware that nuts may pose a choking hazard for young children".
  4. Examples of non-food phrases: “Do not apply to granite, limestone, cast iron bathtubs or damaged enamel”, “Do not spray near eyes or face” or “Do not leave the product on for more than ten minutes”.
  5. Example: Proper storage for a specific product.
    • Product: Licorice.
    • Instructions for use on the product: “Warning: Excessive intake may have a laxative effect.”
    • Check: This safety warning must be entered in GS1Trade Sync as an instruction for use, as it is an important piece of information for the consumer.
    • Result: In GS1Trade Sync field 356 should contain the phrase “Warning: Excessive intake may have laxative effect.” If the phrase is correctly entered, the status “VALID” is given. If it is missing or entered incorrectly, the status “INVALID” is given.

2.22 Regulated product name (3314)

Regulated product name rule (3314): A commodity name shall be given on basic units which are foodstuffs. It must be stated on “non-food”, but it is not a requirement.

The commodity name is the prescribed, regulated or general product name that describes the true nature of the food and is sufficient to accurately distinguish it from other foods according to country-specific legislation.

It appears most often in connection with the list of ingredients.

How is this checked?

  1. Visual inspection of the product. We will see if there is a descriptive text before the “list of ingredients”. If it is not there, we are looking for a descriptive text on the same panel as the net content statement.
  2. Next, we hold the found text up against what is indicated in field 3314.
  3. If what is stated is consistent with what we have found ourselves, the status is given “VALID.
  4. What is stated does not match what we have found ourselves, then we will inspect what we have found and give the status “INVALID”.
  5. Example: Chips with the taste of onions and cheese.
    • Product: Chips with onion and cheese flavor.
    • It says before the ingredients list: “Potato chips with cheese and onion flavor”.
    • Value entered by the member: 'Potato crisps'.
    • Verification: The value entered by the member and the one before the ingredients list do not match.
    • Result: INVALID.

3. Product relevant data outside packaging

3.1 GPC Category Code (3122)

GPC Category Code Rule (3122): The selected GPC category code in field 3122 must be fairly consistent with the consumer unit with which you are sitting and must not be linked to the excluded definition. Example: if it is a frozen product, you choose “frozen product” and not “dry product”.

How is this checked?

  1. Visual control of the type of product we are sitting with.
  2. See what the member has chosen from GPC code and whether it makes sense in relation to the product with which we are sitting, and that it is defined whether it is a dry product, refrigerant or frozen product.
  3. If the GPC code selected by the member makes sense in relation to the product, the status “VALID” is assigned.
  4. If the GPC code selected by the member does not make sense in relation to the product, the GPC browser is checked for a more suitable GPC code and the status “INVALID” is given until the member has entered the inspected GPC code.
  5. VALID EXAMPLE: A ready-made dish that must be refrigerated.
    • Member provided GPC code: Complete ready meals - not ready to eat (refrigerated) 10006749.
    • Visual inspection: The product is a ready-made dish, which has storage instructions that state: “Must be stored at a maximum of +5 degrees C.”.
    • Comparison: The selected GPC code matches the category and type of the product.
    • Result: VALID - The member's choice is consistent with the instruction.
  6. INVALID example: A ready-made dish that must be frozen.
    • Member provided GPC code: Complete ready meals - not ready to eat (refrigerated) 10006749.
    • Visual inspection: The product is a ready-made dish, which has storage instructions that state: “Must be stored at -18 degrees C or lower”.
    • Result: INVALID - Member must change to Complete ready meals - not ready to eat (frozen) 10006748.

3.2 GTIN of the trade item contained in this unit (3165)

Data carrier rule (3165): The GTIN specified in field 3165 must correspond to the GTIN indicated on the product inside the packaging.

How is this checked?

  1. Visual check that the GTIN specified in field 3165 matches the GTIN indicated on the product inside.
  2. If this is the case, the status is “VALID”.
  3. If this does not match, the quality check will be stopped and the member contacted, as it is often due to an incorrect shipment.

3.3 Number of the product concerned contained in this unit (3170)

Rule for the number of the product in question contained in this unit (3170): Indicate how many basic units are in the corresponding package.

How is this checked?

  1. Visual check of how many products are indicated to be in the package and what is actually in the package, as well as what is written on the packaging/package.
  2. If the correct number is specified, the status is given “VALID”, but if an incorrect number is entered, the correct number is inspected and the status “INVALID” is given.
  3. VALID EXAMPLE: A box of 6 bottles of wine.
    • Product: A box of 6 bottles of wine.
    • Value entered by member: 6.
    • Visual inspection: There are exactly 6 bottles of wine in the box, and this is also clearly indicated on the packaging.
    • Result: VALID - The specified number matches the actual number.
  4. INVALID example: A box of 10 bags of chips.
    • Product: A package of 10 bags of chips.
    • Member's entry in field 3170: 12.
    • Visual inspection: The case contains only 10 bags of chips, and this is also indicated on the packaging.
    • Result: INVALID - The correct number is 10 and the member must correct the entry.

3.4 Quantity or Price Variable Product (3717)

Quantity or price variable product rule (3717): For colliding units, the GTIN beginning with 9 is reserved for quantity variable units. In these cases, it must be set to Yes.

For consumer/basic units with quantity-variable barcodes (beginning with, for example, 26 or 28), please indicate: Yes.

On products that may vary in size/weight but have regular GTIN, either Yes or No may be accepted.

How is this checked?

  1. Visual check of whether there is a quantity variable barcode on the product, if Yes, and it says “Yes” in field 3717, is given the status “VALID” if specified no, inspected to and the value “INVALID” is given.
  2. On products that may vary in size/weight but have a regular GTIN, the status “VALID” is given regardless of whether “Yes” or “No” is indicated.
  3. VALID EXAMPLE: Consumer unit with regular GTIN (e.g. starting with 57).
    • Product: A package of cheese that varies in weight (weight printed on the packaging) but has a GTIN that starts with 57.
    • Value entered by member: Yes.
    • Visual inspection: The product varies in weight, but the barcode is not quantity variable.
    • Result: VALID - For units with regular GTIN varying in size/weight, either Yes or No may be accepted.
  4. INVALID example: Quantity variable base unit with barcode starting with 26.
    • Product: A piece of meat wrapped in plastic wrap with a weight-variable barcode starting with 26.
    • Value entered by memeber: No.
    • Visual inspection: The barcode starts with 26, which is used for quantity variable units.
    • Result: INVALID - The field must be fixed to Yes to become correct.

3.5 Relevant to price comparison basis (2955)

Relevant to price comparison basis rule (2955): Field indicating whether to provide price comparison information on the product according to country-specific pricing rules. The price comparison is used, for example, at the front of the shelf to help the consumer compare, for example, the price per kilo of products.

How is this checked?

  1. Checking whether it is a consumer product we are sitting with or not.
  2. If it is a consumer product, it must always be typed “Yes”.
  3. If it is not a consumer product, we approve “No” or “None”.

4. Packaging extra and packing relevant data

4.1 Packed in shelf-ready packaging (3111)

Rule for packaged in shelf-ready packaging (3111): A decision must be made as to whether one's case units are shelf-ready packaging. Case units are shelf-ready when they have perforations or cutouts that allow them to display base units standing or lying in the case unit. In addition, trays are by definition shelf-ready.

Basic Units/Consumer Units are always considered packaged in shelf-ready packaging.

How is this checked?

  1. Visually check for perforations or cutouts that allow the case unit to be used to display base units.
  2. If the case unit is a tray, it is by definition considered shelf-ready packaging.
  3. If you hit one of the mentioned spots on your product, “Yes” will be checked in this field, and the same must be done by the member to obtain the “VALID” status.
  4. If the case unit does not have perforations, cutouts, or other means of displaying the base units, the inspection will be “No” and the member must do the same to obtain the “VALID” status.
  5. If the member has selected “Yes” and there are no perforations in the package or that it does not display consumer/basic units in any way, then the product is not ready for sale and the status “INVALID” is given.
  6. VALID EXAMPLE: Package with perforations.
    • Product: A box of juice cartons.
    • Value entered by the member: Yes.
    • Comparison: The box meets the definition of shelf-ready packaging.
    • Result: VALID - The member's choice is consistent with the inspection.
  7. INVALID example: Package with missing perforations.
    • Product: A closed cardboard box with small juice bottles, without perforations or cutouts.
    • Visual inspection: There are no ways to display the base units directly in the box.
    • Value entered by the member: Yes.
    • Comparison: The box does not meet the definition of shelf-ready packaging.
    • Result: INVALID - The member must change the choice to No.

4.2 Data carrier (3282)

Data carrier rules (3282): The barcode type (s) specified in data carrier field 3282 must correspond to the barcode specified on the product.

How is this checked?

  1. Visual control of the type of barcode printed on the product.
  2. Checks that the specified barcode types match what we are inspecting.
  3. If it complies with the inspected, the status “VALID” is given.
  4. If it does not match the inspected data, the status “INVALID” is given until the member has corrected or overwritten data.
  5. If not all digits below the barcode can be interpreted (for example, if the barcode is crumpled or the numbers have been smeared), no checks can be made and the member contacted.
  6. VALID EXAMPLE: Soda bottle.
    • Product: A bottle of soda.
    • Visual inspection: An EAN-13 barcode is printed on the bottle.
    • Value entered by the member: EAN-13.
    • Comparison: The specified barcode type matches the inspected one.
    • Result: VALID - The member's choice is correct.
  7. INVALID example: Box of frozen berries.
    • Product: A pack of frozen berries with a GS1-128 barcode.
    • Value entered by the member: EAN-13.
    • Comparison: The specified barcode type does not match the inspected barcode.
    • Result: INVALID - Member must change to GS1-128.

4.3 Packaging type (1719)

Packaging Type Rule (1719): Specify the type of packaging the product has or the one that fits best based on the definitions found in our Overview of Packaging types in GS1Trade Sync.

How is this checked?

  1. Visual check of what type of packaging the product has from images linked to the code list in the packaging wizard.
  2. Holds the inspected item up to what the member has specified as the type of packaging.
  3. If we see that the selected packaging type matches what we have inspected or matches the definition from the packaging guide, it will be given the status “VALID”.
  4. If we see that the selected packaging type does not fit the standard, we inspect what is correct and the value “INVALID” is given until the member has corrected or overwritten data.
  5. VALID EXAMPLE: Cardboard box.
    • The member has specified packaging type: Box.
    • Visual inspection: It is a brown, folded cardboard box.
    • Comparison with the packaging guide: The packaging matches the definition of a cardboard box.
    • Result: VALID - The member's choice matches the definition.
  6. INVALID example: Can.
    • The member has specified packaging type: Glass bottle.
    • Visual inspection: It is a soda can made of aluminum.
    • Comparison with the packaging guide: The packaging matches the definition of an aluminum can and not a glass bottle.
    • Result: INVALID - Member must change to Can to obtain “VALID”.

4.4 Packaging Deposit (1777)

Packaging Deposit Rule (1777): If the trade item is covered by a deposit scheme, the applicable deposit type must be specified. This field may be left blank if a deposit scheme does not apply to the trade item.

How is this checked?

  1. A visual inspection is carried out to determine whether the trade item displays a deposit mark or is a returnable milk or beer crate.
  2. The selected deposit type is checked against the product. If the correct deposit type has been selected, the status "VALID" is assigned. If an incorrect deposit type has been selected, the status "INVALID" is assigned.
  3. If a deposit mark is present on the trade itembut no value has been entered in field 1777, the correct deposit type is identified during the inspection, and the status "INVALID" is assigned.
  4. VALID EXAMPLE: Softdrink bottle with a deposit mark.
    • Member's entry: A deposit.
    • Visual inspection: The bottle displays an A Deposit mark(small plastic soft drink bottle).
    • Comparison: The deposit mark matches the selected deposit type.
  5. INVALID example: Glass bottle with deposit mark.
    • The member has specified mortgage type: No deposit.
    • Visual inspection: The bottle displays a C Deposit mark(large glass bottle).
    • Comparison: The bottle has been incorrectly classified, asit is covered by a deposit scheme.
    • Result: INVALID - The deposit type must be updated to C Deposit.
  6. Please note. Refillable bottles that are covered by a deposi tscheme but do not display a deposit mark are still validated, provided the correct deposit type has been entered in GS1Trade Sync. One example is the traditional Danish green refillable beer bottle.

4.5 Number of Units: Depth (3514)

Rule of number of units: depth (3514): Indication of how many basic units are packed from the front of the case to the back of the case. This is indicated only if there is a system in it, and not if the base units lie cluttered. Specifies only for 1 layer by multiple layers. This information can be important in the context of space management.

*Required for shelf-ready packaging. Optional in non-shelf-ready packaging.

How is this checked?

  1. Visual check of how the base units in the case unit are packed and checks if there is a system.
  2. Visual check of whether the case unit is packaged in shelf-ready packaging.
  3. If it is packed in shelf-ready packaging, and there is a structure on the base units in the case unit, then it is inspected how many are packed in one layer in depth.
  4. After this, it is compared with what the member has indicated and it is checked if they have indicated the correct one.
  5. If what our member has indicated is consistent with the inspected, the status “VALID” is given.
  6. If what our member has indicated does not match the inspected, the status is given “INVALID” and the member must correct the inspected value in GS1Trade Sync to get “VALID” status.
  7. VALID EXAMPLE: Open display box with chocolate bars.
    • Product: An open display box with 20 chocolate bars in 2 rows of 10 (shelf-ready packaging).
    • Visual control: The base units are packed systematically and visibly in a pattern.
    • Value entered by the member: 10.
    • Comparison: The number of base units in depth matches the verified count.
    • Result: VALID - The member's entry is correctly selected.
  8. INVALID example: Box with 12 glass bottles of wine.
    • Product: Box of 12 glass bottles of wine.
    • Visual control: The base units are packed systematically and in a fixed pattern.
    • Value entered by the member: 3.
    • Comparison: The member has specified number of units in width instead of number in depth (4 bottles).
    • Result: INVALID - The member must correct the value to 4.

4.6 Number of units: Width (3517)

Number of units rule: width (3517): Indication of how many basic units are packed next to each other in the case (facing the customer). This is indicated only if there is a system in it, and not if the base units lie cluttered. Specifies only for 1 layer by multiple layers. This information can be important in the context of space management.

*Required for shelf-ready packaging. Optional in non-shelf-ready packaging.

How is this checked?

  1. Visual check of how the base units in the case unit are packed and checks if there is a system.
  2. Visual check of whether the case unit is packaged in shelf-ready packaging.
  3. If it is packed in shelf-ready packaging, and there is a structure on the base units in the case unit, an inspection is made of how many are packed in one layer in width.
  4. After this, it is compared with what the member has indicated and it is checked if they have indicated the correct one.

    • Product: A box of 12 glass bottles of wine in 3 rows of 4 bottles (shelf-ready packaging).
    • Visual control: The base units are packed systematically and in a fixed pattern.
    • Value entered by the member: 4.
    • Comparison: The member has specified number of units in depth instead of number in width (3 bottles).
    • Result: INVALID - The member must correct the value to 3.

5. Origin and organic certification

5.1 Product origin type (2303)

Rule for 2303 Product Origin Type: A code describing the type of activity carried out on a product such as last processing, bottled in, butchered in.

Foodstuffs for which mandatory origin labelling requirements have been laid down are the following:

  • Beef
  • Pork
  • Poultry
  • Goat meat
  • Mutton
  • Eggs
  • Honey
  • Wine and sparkling wine
  • Fruit and vegetables subject to marketing standards
  • Fish
  • Extra virgin olive oil or virgin olive oil
  • Prepackaged food products where the absence of origin labelling could be misleading.

How is this checked?

  1. Visually check if something about “Product origin type” is indicated on the product.
  2. If specified in GS1Trade Sync, it will be inspected whether it is indicated on the product.
  3. Is it consistent with what is stated in GS1Trade Sync. Then the status is given “VALID”.
  4. Does not match what is stated in GS1Trade Sync. Then the status is given “INVALID”.
  5. Example:
    • On the product it says: Meat from pigs slaughtered in “Poland”.
    • Value entered by the member: Meat from pigs slaughtered in 'Poland'.
    • Visual control: Everything matches.
    • Result: VALID - The value entered by the member is correct.

5.2 Product origin: Country of origin details (2308)

Rule 2308 Product activity details: Country code of activity: The geographical area in which an activity has taken place.

How is this checked?

  1. Visually check if something about “Product origin type” is indicated on the product.
  2. If specified in GS1Trade Sync, it will be inspected whether it is indicated on the product.
  3. Is it consistent with what is stated in GS1Trade Sync. Then the status is given “VALID”.
  4. Does not match what is stated in GS1Trade Sync. Then the status is given “INVALID”.

5.3 Provenance description (2296)

Rule of Provenance description (2296): This shall indicate the place from which a product originates if it is specifically stated and appears on the packaging of the product.

Examples: Made in the Thuringian Mountains, Made in Paris, from Napa Valley.

How is this checked?

  1. Visually check if something is written on the product with a detailed description of the provenance.
  2. Next, we check if the member has indicated anything in GS1Trade Sync.
  3. If what the member has indicated matches what we have inspected on the product, the value “VALID” is given.
  4. If what the member has indicated does not match what we have inspected on the product, the status “INVALID” is given.
  5. If nothing is stated on the product and nothing is stated, the status is given “VALID”.
  6. Example: Pizza from Italy.
    • On the product is the following phrase: “All ingredients except meat originate from Florence”.
    • The member stated: “All ingredients are sourced from Florence”.
    • Comparison: Member did not specify provenance description consistent with what is stated on the product.
    • Result: INVALID until a member is directed to “All ingredients except meat originate from Florence”, then it will be VALID.

5.4 Organic Product: Place of Breeding (795)

Organic Product Rule: Place of Breeding 795: Indication of where the agricultural raw materials from which the product is produced come from (Ex. EU agriculture), according to EU Regulation No 834/2007. The indication applies only to the complete product - not to each individual ingredient.

How is this checked?

  1. Visual verification of whether the product has an EU organic logo.
  2. To be specified only in GS1Trade Sync if the product has an EU organic logo.
  3. If it appears on the product, it must be entered in GS1Trade Sync and set as it says on the product.
  4. Example:
    • Visual verification of whether the product has an EU organic logo.
    • Product: Frozen vegetables.
    • Text under the EU organic logo: It reads under the label 'EU Agriculture'.
    • The member stated: 'Not EU agriculture/EU agriculture'.
    • Result: INVALID and the member must correct to “EU agriculture” to get VALID.

5.5 Organic Product Code (798)

Organic product code 798 rule: The code indicates that the product has been certified as organic.

How is this checked?

  1. A visual inspection is carried out to determine whether the product displays the EU organic logo.
  2. In the case of food, the field must always be filled in.
  3. If the product is not organic, “Not organic (5)” must be indicated.
  4. If the product is organic, a code value must be specified.
  5. Example:
    • Product: Organic semi-skimmed milk.
    • Control: It is a food item and it is organic.
    • Value entered by the member: Organic.
    • Result: VALID.

5.6 Organic certification (4426)

Organic Certification Rule 4426: A number issued to confirm that something has passed organic certification.

How is this checked?

  1. Visual verification of whether the product has an “EU Ecolabel”.
  2. To be specified only in GS1Trade Sync if the product has an “EU Ecology Label”.
  3. If it appears on the product, it must be entered in GS1Trade Sync, as it says on the product.
  4. Example:
    • Visual inspection of the 'EU Ecology Label'.
    • It says under the label: DK-ØKO-100.
    • Value entered by the member: DK-ØKO-50.
    • Result: INVALID.

6. Safety and dangerous goods data

6.1 Safety Data Sheet Information (2739, 2738, 2658, 2740, 2746)

2739: GHS Symbol: Description Code

  • A code description of the symbols informing about health hazards, physical hazards and environmental hazards.

2658: Safety Data Sheet: Number

  • The manufacturer's safety data sheet number of a product.

 

2740: GHS: Hazard statement (H-code)

  • Standard phrases describing the nature of the hazard.

 

2746: GHS: Precautionary statement (P-statement)

  • Measures printed on a hazard label to minimize or avoid harmful effects. Safety sentence covering prevention, response in the event of accidental spillage or exposure, storage and disposal.

  3. If it matches what is printed on the product, the status “VALID” is given.
  4. If what is stated does not match what is printed on the product, the status “INVALID” is given.
  5. Example: Detergent.
    • Product: Detergent.
    • On the product is printed the following: Warning: IF SWALLOWED: Immediately call a POISENpoison information/doctor/...
    • Member has indicated: Warning.
    • Result: VALID.

6.3 GHS Symbol: Description Code (2739)

Rule for GHS Symbol Description Code (2739): A code description of the symbols informing about health hazards, physical hazards and environmental hazards.

How is this checked?

  1. Visually check if there is a warning symbol on the product.
  2. If the product has a symbol that warns the consumer about health hazards, physical hazards and environmental hazards such as: Flame, corrosive, etc. Then it must be entered in GS1Trade Sync.
  3. If there is no warning symbol for a signal word, indicate “No symbol available”.
  4. Example: Detergent.
    • Product: Detergent.
    • On the product is printed a symbol with a diamond around a flame.
    • Member has stated: No symbol available.
    • Result: INVALID — Member must select “Flame”.

6.4 Hazard phrase (2740)

Hazard Statement Rule (2740): Standard phrases assigned a hazard class-and-category describing the nature of the hazard. For example, flammable liquid.

How is this checked?

  1. Visual inspection of the presence of hazard statements on the product.
  2. Hazard statements are indicated only in GS1Trade Sync if signal words (2738) are indicated on the product.
  3. Hazard statements are indicated only in GS1Trade Sync if on the product they are listed verbatim as the predefined phrases.
  4. The “...” in the code value can replace all words.
  5. Example of hazard statement: “Highly flammable aerosol”.

6.5 Precautionary statement (2746)

Precautionary statement rule (2746): Measures printed on a hazard label to minimize or avoid harmful effects. For GHS, precautionary statements have been linked to each GHS hazard phrase and the type of hazard. Precautionary statement for GHS cover prevention, response in the event of accidental spillage or exposure, storage and disposal.

How is this checked?

  1. Visual inspection of the presence of hazard statements on the product.
  2. Precautionary statements are specified only in GS1Trade Sync if signal words (2738) are indicated on the product.
  3. Precautionary statements are specified only in GS1Trade Sync if on the product they are listed verbatim as the predefined phrases.
  4. “...” in the code value can replace all words.
  5. Example of precautionary statement: "Warning: IF SWALLOWED: Immediately call a POISONCENTER/doctor..."

6.6 Dangerous goods: UN number (3691)

UN number rule (3691): This indicates the four-digit number assigned by the United Nations Committee of Experts on the Transport of Dangerous Goods to classify a substance or a special group of substances. Abbreviated UNDG Number.

 

How is this checked?

  1. Visual verification of whether the product has a “UN number” typically by a hazard label on the package but not necessarily.
  2. To be specified only in GS1Trade Sync if the product has an “UN number”.
  3. If it appears on the product, it must be entered in GS1Trade Sync.
  4. Example:
    • Visual inspection of the “UN number”.
    • It says on the package packaging next to the limited quantities label: UN-3090.
    • Value entered by the member: 3090.
    • Result: VALID.

7. Dimensions and weight

7.1 Measurement of dimensions (3520, 3498, 3492)

When we measure products, we do it based on GS1 Package and Product Measurement Standard, which can be found in its full version here.

We always use a CubiScan 125 scale first, as far as possible, then we hand measure with callipers, measuring tape, etc., if necessary.

Millimeters are always rounded up to a whole millimeter. For example, 99.3 mm will turn into 100 mm.

In addition, there is a difference between measuring a “consumer unit”, which is typically a basic unit, or whether to measure a “non-consumer unit”, which is typically a case unit.

Packages packed in shelf-ready packaging are measured as a “consumer unit”. This is because the data receivers and retail want this for space management.

Here you will find the specific methods we use to measure “non-consumer units” (from GS1 Package and Product Measurement Standard).

*Ready-to-sell packages are measured with the same tolerance ratio as other packages and almost the same rules. However, they are measured by their faces. This means that the width is determined from the side from which the package primarily displays the base unit.

7.2 Width (3520)

*NOTE This includes the rule for both consumer and non-consumer product.

Consumer Product Rule (3520): The width of the product must be indicated in millimeters (mm). After identifying the standard front of the product.

How is this checked?

  1. Visual inspection of the productto find out what is the standard front.
  2. The unit is measured with the CubiScan measurement/weighing machine and hand measured if necessary.
  3. The result of the measurement is compared with the specified value in the field “3520” and it is checked that the value is within the tolerance.
  4. If it is within the tolerances, the status “VALID” is given. If it is not within the tolerances, the status “INVALID” is given.
  5. VALID EXAMPLE: Box of chocolates.
    • Product: A rectangular box of chocolates.
    • Default front: Largest side of the product with product logo, name and net content.
    • Measurement: Measured width with CubiScan is 85 mm.
    • Value entered by the member: 86 mm.
    • Comparison: The indicated value is within the tolerance.
    • Result: VALID - The value entered by the member is consistent with the inspection.
  6. INVALID example: Plastic bottle.
    • Product: A round plastic soda bottle.
    • Default front: Largest page with product logo, name and net content.
    • Measurement: Measured width with CubiScan is 70 mm.
    • Value entered by the member: 65 mm.
    • Comparison: The specified value is outside the tolerance.
    • Result: INVALID - The member must correct the field to the correct value, or a value that is within the tolerance.

Non-consumer product rule (3520): The width of the product indicated in millimeters (mm). After figuring out the natural base of the product, it is the short side of the natural base that is measured as width.

How is this checked?

  1. Visual inspection of the product to find out what is the natural base.
  2. The unit is measured with the CubiScan measurement/weighing machine and hand measured if necessary.
  3. The result of the measurement is compared with the specified value in the field “3520” and it is checked that the value is within the tolerance.
  4. If it is within the tolerances, the status “VALID” is given. If it is not within the tolerances, the status “INVALID” is given
  5. VALID EXAMPLE: Box of 24 boxes.
    • Product: A square box of 24 boxes.
    • Natural base: The widest surface on which the box rests naturally.
    • Width: The short side of the natural base is measured as width.
    • Measurement: Measured width with CubiScan is 200 mm.
    • Value entered by the member: 200 mm.
    • Comparison: The specified value matches the measurement.
    • Result: VALID - The entry is correct
  6. INVALID example: Box of glass bottles.
    • Product: A box of 12 glass bottles.
    • Natural base: The bottom of the box, where it rests stably.
    • Width: The short side of the box is measured as width.
    • Measurement: Measured width with CubiScan is 300 mm.
    • Value entered by the member: 280 mm.
    • Comparison: The specified value is outside the tolerance.
    • Result: INVALID - The member must correct the value to 300 mm or within the tolerance.

7.3 Height (3498)

Consumer Product Rule (3498): The height of the product must be indicated in millimeters (mm). After identifying the standard front of the product.

How is this checked?

  1. Visual inspection of the product to find out what is the standard front.
  2. The unit is measured with the CubiScan measurement/weighing machine and hand measured if necessary.
  3. The result of the measurement is compared with the specified value in the field”3498”, and it is checked that the value is within the tolerance.
  4. If it is within the tolerances, the status “VALID” is given. If it is not within the tolerances, the status “INVALID” is given
  5. VALID Example: Box of chocolates.
    • Product: A rectangular box of chocolates.
    • Default front: Largest side of the product with product logo, name and net content.
    • Measurement: Measured height with CubiScan is 121 mm.
    • Value entered by the member: 120 mm.
    • Comparison: The indicated value is within the tolerance.
    • Result: VALID - The value entered by the member is consistent with the inspection.
  6. INVALID example: Plastic bottle.
    • Product: A round plastic soda bottle.
    • Default front: Largest page with product logo, name and net content.
    • Measurement: Measured height with CubiScan is 70 mm.
    • Value entered by the member: 75 mm.
    • Comparison: The specified value is outside the tolerance.
    • Result: INVALID - The member must correct the field to the correct value, or a value that is within the tolerance.

Non-consumer entity rule (3498): The height of the product indicated in millimeters (mm) after identifying the natural base of the product. It is the distance between the natural base of the non-consumer unit and the top.

How is this checked?

  1. Visual inspection of the product to find out what is the natural base.
  2. The unit is measured with the CubiScan measurement/weighing machine and hand measured if necessary.
  3. The result of the measurement is compared with the specified value in the field”3498”, and it is checked that the value is within the tolerance.
  4. If it is within the tolerances, the status “VALID” is given. If it is not within the tolerances, the status “INVALID” is given
  5. VALID EXAMPLE: Box of 24 boxes.
    • Product: A square box of 24 boxes.
    • Natural base: The widest surface on which the box rests naturally.
    • Height: the vertical dimension from the natural base to the top.
    • Measurement: Measured height with CubiScan is 200 mm.
    • Value entered by the member: 200 mm.
    • Comparison: The specified value matches the measurement.
    • Result: VALID - The entry is correct.
  6. INVALID example: Box of glass bottles.
    • Product: A box of 12 glass bottles.
    • Natural base: The widest surface on which the box rests naturally.
    • Height: the vertical dimension from the natural base to the top.
    • Measurement: Measured height with CubiScan is 340 mm.
    • Value entered by the member: 300 mm.
    • Comparison: The specified value is outside the tolerance.
    • Result: INVALID - The member must correct the value to 340 mm or within the tolerance.

7.4 Depth (3492)

Consumer pProduct Rule (3492): The depth of the product must be indicated in millimeters (mm) after identifying the standard front of the product.

How is this checked?

  1. Visual inspection of the product to find out what is the standard front.
  2. The unit is measured with a CubiScan meter/weighing machine and hand measured if necessary.
  3. The result of the measurement is compared with the specified value in the field”3492”, and it is checked that the value is within the tolerance.
  4. If it is within the tolerances, the status “VALID” is given. If it is not within the tolerances, the status “INVALID” is given
  5. VALID EXAMPLE: Box of chocolates.
    • Product: A rectangular box of chocolates.
    • Default front: Largest side of the product with the product logo, name and net content.
    • Measurement: Measured depth with CubiScan is 271 mm.
    • Value entered by the member: 270 mm.
    • Comparison: The indicated value is within the tolerance.
    • Result: VALID - The value entered by the member is consistent with the inspection.
  6. INVALID example: Plastic bottle.
    • Product: A round plastic soda bottle.
    • Default front: Largest page with product logo, name and net content.
    • Measurement: Measured depth with CubiScan is 70 mm.
    • Value entered by the member: 75 mm.
    • Comparison: The specified value is outside the tolerance.
    • Result: INVALID - The member must correct the field to the correct value, or a value that is within the tolerance.

Non-consumer product productrule (3492): The depth of the product indicated in millimeters (mm). After figuring out the natural base of the product, it is the longer side of the natural base of the non-consumer product.

How is this checked?

  1. Visual inspection of the product to find out what is the natural base.
  2. The unit is measured with the CubiScan measurement/weighing machine and hand measured if necessary.
  3. The result of the measurement is compared with the specified value in the field”3492”, and it is checked that the value is within the tolerance.
  4. If it is within the tolerances, the status is given “VALID” and if it is not within the tolerances, the status is given “INVALID”.
  5. VALID EXAMPLE: Box of 24 boxes.
    • Product: A square box of 24 boxes.
    • Natural base: The widest surface on which the box rests naturally.
    • Height: the vertical dimension from the natural base to the top.
    • Measurement: Measured depth with CubiScan is 200 mm.
    • Value entered by the member: 200 mm.
    • Comparison: The specified value matches the measurement.
    • Result: VALID - The entry is correct.
  6. INVALID example: Box of glass bottles.
    • Product: A box of 12 glass bottles.
    • Natural base: The widest surface on which the box rests naturally.
    • Depth: The longest of the 2 flat sides after identifying the natural base.
    • Measurement: Measured depth with CubiScan is 410 mm.
    • Value entered by the member: 360 mm.
    • Comparison: The specified value is outside the tolerance.
    • Result: INVALID - The member must correct the value to 410 mm or within the tolerance.

7.5 Gross weight (3556)Fon the

Gross weight rule (3556): One must indicate the actual gross weight of the unit indicated in grams.

How is this checked?

  1. The unit is measured on the CubiScan measurement/weighing machine and table scale if necessary.
  2. The result of the measurement is compared with the specified value in the field”3556”, and it is checked that the value is within the tolerance.
  3. If it is within the tolerances, the status “VALID” is given. If it is not within the tolerances, the status “INVALID” is given.
  4. VALID EXAMPLE: Bottle of soda.
    • Product: A 1.5 liter soda bottle.
    • Measurement: The total weight measured on Cubiscan is 1620 g.
    • Value entered by the member: 1600 g.
    • Comparison: The indicated value is within the tolerance of ±-%.
    • Result: VALID - The value entered by the member matches the tolerance.
  5. INVALID example: Canned tomatoes.
    • Product: A can of chopped tomatoes.
    • Measurement: The total weight measured on CubiScan is 403 g.
    • Value entered by the member: 370 g.
    • Comparison: The indicated value is outside the tolerance of ±-%.
    • Result: INVALID - The member must correct the field to the correct value, or a value that is within the tolerance.
